About the role
The PMO Analyst is an integral part of the PMO structure, typically working within a specific practice under the guidance of a PMO Business Partner. Think of this role as the “boots on the ground” for project oversight – directly interfacing with Project Managers and project teams to ensure that planning and governance standards are upheld throughout the project lifecycle. The PMO Analyst ensures that projects start with a solid plan, stay on track with regards to scope/time/cost, and follow the organisation’s delivery methodology and governance checkpoints.
Key Responsibilities:
Project Planning: Work closely with Project Managers during the initiation and planning phases of a project. The PMO Analyst helps ensure that each project has a comprehensive and realistic project plan. This might include assisting in developing the work breakdown structure (tasks, timelines, milestones), resource plan, and budget estimates. They make sure, for example, that a standard project in the practice accounts for all necessary phases (design, build, testing, deployment, etc.) and sufficient resources are planned at the outset when the plan is initially baselined.
Ongoing Project Monitoring: Once execution is underway, the PMO Analyst continuously monitors project progress against the plan. They track key parameters such as timelines (are tasks/milestones being completed on schedule?), budget and commercial health, and scope changes. The PMO Analyst will often maintain the central project status dashboard for their practice – support entering any reported slippages and keeping an eye on the critical path. If something deviates (e.g., a milestone is missed or a change request is raised), they are there to ensure standards are followed and the project is managed to ensure project health remain intact.
Governance and Compliance Checks: Ensure that each project is following the PMO’s project governance standards and methodology steps. This includes coordinating and sometimes facilitating governance activities such as stage gate reviews, quality assurance checkpoints, and project audits. For instance, before a project moves from design to build, the PMO Analyst might use a checklist to confirm that all required deliverables for the design phase are completed and approved (requirements docs, design specs, stakeholder sign-off, etc.). If any governance artifact is missing (say a risk register hasn’t been started), the PMO Analyst will prompt the Project Manager to create one. This role essentially ensures process compliance, projects adhere to the agreed templates, documentation, and reviews that the PMO requires for consistency and quality.
Resource Management: While the Planning team are working with the PMO Business Partners to allocate resources at a high level, the PMO Analyst focuses on low-level resource usage within projects in their practice. They keep tabs on whether the allocated people are being utilised as planned on the project. If a project’s resource is sitting idle or, conversely, overworked due to scope creep, the PMO Analyst would and act to resolve. They coordinate with the PMO Business Partner if support is required for major resourcing adjustments, for example, high number of change controls or a resource is required to depart a project in full. In essence, they help optimise resource use at the micro (project) level, in line with the macro plan.
PMO Administration: Play an active role in maintaining leave requests, both absence and annual leave, ensuring that appropriate action is taken to keep project plans/schedule intact.
